SERVICE COORDINATOR 

The Service Appointment/Internal Coordinator will ensure that all service appointment bookings are completed accurately and in a timely fashion. This role involves documentation of vehicle concerns that are established through listening to customers and by asking probing questions.  Organizing the completion and accuracy of Internal work for deliveries and reconditioning is also a priority.

A customer centric approach to all duties and interactions is a must! This is a fast-paced service department with our goat set on 100% customer satisfaction.

What you will do:

  • Answer all email and phone calls and online appointment bookings in a professional manner. You will make outbound calls to existing customer to book service appointments, provide after service follow-up and inform customers about other service programs/special offers as directed.
  • Utilizing Xtime and Serti for appointment bookings, ensure accuracy of customer information and capture any pertinent information for the appointment.
  • Recommend proper service requirements from the service menu and provide customer with an estimate on the cost and the approximate amount of time needed for the repair.
  • Coordinate service part slips in coordination with the Service manager and service advisors.
  • Complete outbound calls, contacting customers that are due for yearly commercial service.
  • Contact all customers with missed appointments and promptly reschedule a new date.
  • Prepare maintenance reminders letters for mail distribution.
  • Check DealerConnect for recalls/bulletins, inform customers of an extra time need to complete recalls.
  • Inform service department of daily appointment schedules.
  • Perform other duties as required/requested by management.

What you will need:

  • Knowledge of Xtime or Serti software is considered an asset
  • Ability to build trust and maintain a solid business relationship with customer’s
  • Knowledge of automobiles and warranties
  • Strong computer skills
  • Good verbal and written communication
  • Previous KIA experience an asset
  • Valid Ontario Driver’s license and drivers abstract
  • A “can do” attitude putting customer needs first
  • Motivated team player
  • The position requires the ability to do some lifting (25lbs) and other forms of physical exertion
